Planned Preventative Maintenance (PPM) is a scheduled programme of building inspections, testing and servicing designed to prevent failures before they occur. A PPM contract replaces unpredictable emergency spend with fixed planned visits — typically weekly, monthly, quarterly and annual — that keep commercial properties compliant, functional and professionally maintained throughout the year. Required compliance elements include: EICR under Electricity at Work Regulations 1989, legionella risk management under ACOP L8, fire equipment servicing under the Regulatory Reform (Fire Safety) Order 2005, and general duty of care under the Health and Safety at Work Act 1974.

PPM is not optional for commercial properties. The Electricity at Work Regulations 1989 require periodic EICR inspections. The Health and Safety at Work Act 1974 requires employers to maintain safe premises. ACOP L8 requires legionella risk assessments. The Regulatory Reform (Fire Safety) Order 2005 requires regular fire equipment checks. Landlords and occupiers who cannot evidence a PPM programme face enforcement action, unlimited fines, and — in the event of a serious incident — criminal prosecution under Section 2 of HSWA 1974.
